The following fields are required in order to initially save the Account: Account name, Account address, Sales Person, and a Contact. All other information is optional but highly recommended that it is also filled in.

Phone/fax and Email address can be used when generating a proposal but we do have a few other options that can be selected instead, this will be covered in the Proposal section of the course.

Region is a customizable field that you can use to group accounts into particular regions that you service or work in. This helps with routing and scheduling allowing to identify which of your customers live close to one another. Regions are set within the settings page by clicking on your name in the top right corner of the page and going to Settings > Regions. This is where you can add all of your regions to select from the drop down list.

Community is a section is for smaller subsections of a region and could be an HOA name, complex or community name. The Community portion will need to be typed in manually.

The Sales Person field will only display users who have the sales person role selected in their user profile. If you have the sales person roll selected under your user account and you create the account, your name will be selected automatically for you as the sales person. If this needs to be changed you can simply do so by selecting a different sales person from the drop down list.

The Status section is not able to be changed and is set automatically based off of the current status of the Account within Manage360:

Lead Only: this account has no currently open opportunities and no active jobs
Prospect: this account has an open opportunity. Potential sale
Active: This account has an active job. A current customer
Inactive: This account has had at least one job in the past, but all jobs are closed. A past customer. No currently open opportunities.

The link icon to the right of the status shows if the the account is currently linked to an customer in QuickBooks.

A grey icon means that it is not currently mapped to an account in QuickBooks.
A green linked icon means that it is mapped to an account in QuickBooks
A red exclamation point means that there was an issue mapping the customer, hovering over the icon will bring up a brief explanation as to why the account can not be mapped.

Account Type, here you have the option to select either Residential or Commercial. These are non-customizable fields and they are used for selecting different default tax rates and also acts as a grouping option on reports. Under the Settings > Configuration you will have the option to select different default tax rates based on the Account Type.

Account Rating is a customizable field that you can use to rate your customers. How you go about utilizing the field is a personal preference but some examples would be a 1-5 start rating, or possibly some options about if they pay on time, if they always want a deal etc. These options are set on the Settings page under the Account Rating option.

Lead Source is a fairly import field if you plan to track where your customers come from and how they find out about your business. This is a customizable field that can be added by going to Settings > Lead Source. This can be used on most reports to group information by lead source to see where most of your revenue is being generated from so you can invest in marketing accordingly. The Source Details section just below is for additional information you may want to include when tracking where the leads came from.

Finally, Private Notes are for adding notes about the Account. These do not appear anywhere but can be used by the sales person to note any additional information they would like to add.

At the bottom of the page is where your Contacts for the Account will be stored. These are the physical people you will be dealing with regarding the account and their own personal contact information can be stored. To create a Contact, click on the green Add Contact button and a new form will appear. On this form fill out the relevant information pertaining to the contact. There will be two options at the bottom stating Primary Contact and Billing Contact. If you only add one contact both of these options will be checked. If you add an additional contact by clicking the Add Contact button again another contact can be added and the options for primary contact and billing can be changed. Once you are done adding all of your information click the save button at the top of the page to finish creating the account. You will notice that some new tabs will appear at the top of the page (when creating new Accounts) and we will talk about them in the next section.
